  • Overview

    The Administrative Assistant welcomes residents and guests in person and on the phone and responds to a wide variety of requests by accurately assessing the customer's needs; then adds personal recommendations to achieve maximum customer satisfaction while complying with all Otterbein policies.  The Administrative Assistant is responsible for performing administrative functions of a confidential nature; providing support in Accounting by processing Accounts Payable and balancing the cash drawer; providing telephone and guest relations support; and providing various clerical support within the Business Office.

     

    Responsibilities

    • Answers telephone, receives and delivers messages to proper staff persons.
    • Greets visitors in a professional manner, makes them feel welcome, and refers them to the proper staff persons and/or residents. Provides excellence in customer service congruent with the Mission of Otterbein Homes and the Otterbein Experience.
    • Provide administrative and clerical support to the offices of the Executive Director and Business Office Manager.
    • Processes vendor invoices by entering into the Accounts Payable system and maintains files.
    • Maintains and balances resident fund cash drawer.
    • Receives and sorts all business mail, and distributes to proper personnel.
    • Serves as a resource person for residents, families and partners.

    Qualifications

    Education, Credentials, Licenses:

    High School Diploma or equivalent and college/trade school classes with concentration in the business skills

    is preferred.

     

    Experience:

    One to two years' administrative experience is preferred.

     

    Special Skills and Requirements: 

    • Must be detail oriented and have excellent literacy and writing, documentation, communication and interpersonal abilities
    • Must have the ability to manage and complete multiple tasks while achieving established deadlines
    • Must have knowledge of basic accounting functions
    • Must have the willingness to learn and help others
    • Must have the passion for working with older adults
    • Must have computer knowledge in Microsoft Word, Outlook, Power Point and Excel
